Section 02 · The Filing Process

A four-step process, handled end to end.

From document review through final disbursement, National Auto Refund Group manages every step of refund recovery. Claimants are not required to contact administrators, dealerships, or lenders directly.

I.

Step 01

5–10 minutes

Document Submission

You provide your contact information, basic vehicle details, and any purchase paperwork you can locate.

  • Upload your buyer's order, F&I product contracts, and financing paperwork where available.
  • Provide proof of the qualifying event — a payoff letter, trade-in agreement, or total-loss settlement.
  • Partial documentation is accepted; missing items can often be reconstructed during review.
  • All uploads are transmitted over an encrypted connection and stored in access-controlled storage.

II.

Step 02

1–3 business days

Eligibility Review

Our team examines your documents, identifies every recoverable product, and estimates the refund owed.

  • Each F&I product purchased at signing is identified and matched to its administrator.
  • The unearned, refundable portion of every product is estimated under your contract terms.
  • You receive a written eligibility summary before any claim is filed.
  • The review is provided at no charge and carries no obligation to proceed.

III.

Step 03

2–6 weeks

Claim Filing

We prepare and submit administrator-specific cancellation forms, then track each claim to disbursement.

  • Administrator-specific cancellation forms are prepared and submitted on your behalf.
  • We manage all correspondence — you are not required to contact dealers, lenders, or administrators.
  • Each claim is tracked individually, and you are notified at every status change.
  • Additional documentation, if requested by an administrator, is coordinated through us.

IV.

Step 04

Varies by administrator

Refund Disbursement

The administrator issues the refund, which is remitted to you or your lienholder per your contract.

  • Refunds are issued by the product administrator that backs each contract.
  • If your loan is satisfied, the refund is generally remitted to you directly.
  • If a loan remains active, the refund is typically applied to your principal balance.
  • Our contingency recovery fee is assessed only at this stage — never before.

Typical Timeline

60–90 days

From submission of complete documentation, most claims complete administrator review and disbursement within 60–90 days. Some administrators process faster; others extend beyond this window. National Auto Refund Group manages all follow-up throughout.

  • Locating the correct administrator for each product
  • Preparing administrator-specific cancellation paperwork
  • Submitting claims and tracking each to disbursement
  • Managing all follow-up correspondence on your behalf
  • Confirming the refund amount and disbursement destination

The claimant provides

  • Original purchase and F&I product documents, where available
  • Proof of the qualifying event (payoff, trade, refinance, total loss)
  • Current contact information and lienholder details
  • A signed authorization permitting us to file on your behalf

Buyer's Order / Purchase Agreement

The itemized sale document listing each F&I product and its price.

F&I Product Contracts

Individual contracts for the VSC, GAP, tire & wheel, or other add-ons.

Retail Installment / Financing Agreement

Your loan contract, identifying the original lender.

Proof of Qualifying Event

A payoff letter, trade-in agreement, refinance statement, or total-loss settlement.

Current Lienholder Statement

Required only if a loan remains active on the vehicle.
